GENERAL REGULATIONS

The AllGreenFriends ESG Excellence Awards aim to recognize and celebrate Italian excellence in Communications/Public Relations, with a strong focus on sustainability and social responsibility. These awards are dedicated to highlighting Italian initiatives, campaigns and individual professionals that promote sustainable practices, environmental awareness, and ethical communication in the PR industry. By honoring projects that drive positive environmental and social impact, the AllGreenFriends ESG Excellence Awards seek to inspire the PR community across Italy to adopt greener practices and contribute to a more sustainable future.

The goal is to foster innovation, encourage the integration of sustainability into communication strategies, and promote a culture of environmental responsibility within the Italian PR sector. Their purpose is to bring attention to leadership projects in sustainability that deserve recognition and evaluation by experts through this prestigious awards program, benefiting both the applicants and the Italian communities in which these projects are implemented.

• 1.1 Eligibility

The AllGreenFriends ESG Excellence Awards are open to organizations, agencies, and individual professionals who are actively contributing to the field of sustainable communications.

Eligible participants must be based in Italy and demonstrate a strong commitment to promoting sustainability through their Communications/Public Relations activities. This includes communications strategies, campaigns, or initiatives focused on environmental responsibility, green practices, climate action, or social sustainability.

Participants must be actively engaged in projects whose core ore objective is to raise awareness, educate, or influence behaviors around sustainability. This could involve communicating a company's green transformation, promoting eco-friendly products, advocating for environmental or social causes, or integrating sustainability into broader corporate communications. The eligible activities should demonstrate how Public Relations has been used as a powerful tool to foster sustainable development and promote ethical, responsible messaging.

All categories are presented and publicly available on the official AllGreenFriends website, where guidelines and recommendations for applying for each award category are described.

• 1.2 Submission Criteria

Everyone who wants to present projects within the description of the categories that were operationally implemented in the period from 1.1 until 31.12. in the current year, regardless of whether they started up to 3 (three) years earlier, but it is important that they are implemented operationally in the year of application and do not have to end in the year of application. Projects started in the current year of application can also be applied for, and all applicants must adhere to the application deadlines specified on the official website.

• 1.3 Applications

Applications must be submitted in English and include a comprehensive overview of the project, its objectives, strategies, and measurable results according to the application form. Acceptable project offers are exclusively those that fulfill all chapters of the form that is publicly available on the official website and is found for each category, which will be evaluated and assessed for regularity and realized goals by an expert evaluation court.

We have a total of 5 award categories that are judged by an expert judging panel, and these are the following award categories:

NOMINATION PROCESS

• 3.1 Registration

All interested representatives of organizations can start their registration within the official deadline following the nomination procedures. Before registering, it is necessary to carefully read who each category is intended for. If they have questions, they can contact the organizer. The contacts are listed at the end of this regulation.

• Choose the most appropriate award categories for your project from the available options.

• Projects may be eligible for multiple categories if they meet the appropriate criteria.

• 3.2 Application Form

• Fill in the online application form, providing detailed information about the project, with particular emphasis on appointing an authorized representative.

• The online application includes details such as project objectives, strategies, execution plans, and measurable results.

• 3.3 Supporting materials

• Upload supporting materials such as visuals, campaign collateral, videos, or any other relevant documentation.

• Ensure that all submitted materials, especially written explanations, improve the judges’ understanding of the project.

• 3.4 Entry fee payment

The application for the award is free of charge.

*Attendance at the conference depends on you and your decision.

If you do not want to attend the conference, you can donate your ticket for the conference through the organization for the student network.

• 3.5 Review and Confirmation

• All applicants should review the submitted data to ensure accuracy and completeness, with the goal of accurate and transparent public disclosure.

• The registration system will automatically confirm the submission. All project applicants after the specified deadline will not be considered. The indicated deadline is 11 p.m. (CENTRAL EUROPEAN TIME), and the date of the last day of application is published on the official website and is considered the final application deadline. Dates and deadlines for submission will be published every calendar year.

• 3.6. Notification of results

• All award winners will receive a prize. All winners will be notified in advance of the public announcement, which is considered official and will be published on the official website. All finalists won’t receive a prize, but recognition. All winners and finalists will be invited to attend the AllGreenFriends ESG Excellence Awards Ceremony.

• Notifications about the date of public publication will be sent to the e-mail address of the person whose name and surname were specified during the registration process. If the person is no longer officially employed in the organization that registered the project, the applicant is obliged to send to the organizer the relevant contact address and information about the official person who represents the organization in this reward program. The person who represents the organization does not have to be, but can be the CEO, or the director of the organization.

• After the official notification and public announcement, within 8 working days, the organization is obliged to send the information to the email of the applicant, the function of the person who will take over the award during the award ceremony. If the named person is prevented from accepting the award by the organization that received one of the awards, he/she must send the organizer new information about the person and his or her function who will receive the award on behalf of the organization in writing no later than 24 hours before the official date and award. This applies if the applicants of the project are an agency or a client. Therefore, if two or more of them were involved in the modification of the project, the applicant can submit additional names to the organizer. No more than 5 will appear on stage during the award presentation. Within 8 days, from the receipt of written information and by this article, 24 hours at the latest from the publication of the date and time, change exclusively in writing to the official contact address of the organizer.

PRINCIPLES, CRITERIA, AND PROCEDURES FOR AWARDING THE ALLGREENFRIENDS ESG EXCELLENCE AWARDS

PRINCIPLES

• Excellence in Sustainable Communications

The primary principle that guides the AllGreenFriends ESG Excellence Awards is to recognize and celebrate excellence in sustainable communications. The projects will be evaluated based on innovative approaches, strategic thinking, and impact on the achievement of communication goals and the ultimate impact on the target public for which the project is intended.

• Ethical Practices

Awarded projects must adhere to the highest ethical standards in communications. Transparency, honesty, respect for all stakeholders, diversity, are key components of projects considered for awards.

• Innovation and creativity

The awards aim to reward projects that demonstrate a high degree of innovation and creativity in solving communication challenges. Originality and the ability to break new ground in sustainable communications practice will be key considerations as will ease of understanding.

• Measurable Impact

Projects must demonstrate a clear and measurable impact on the target audience, organization, or community. Tangible results and evidence of success in meeting pre-defined objectives will strengthen the project’s candidacy.

• Diversity and Inclusion

The AllGreenFriends ESG Excellence Awards recognize projects that embrace diversity and inclusion in their communication strategies. Submissions that demonstrate an understanding of diverse audiences and an inclusive message will be given special consideration.

CRITERIA

• Strategic Planning

The effectiveness of the strategic planning of the project, including a well-defined goal, identification of the target audience, and a comprehensive communication strategy.

• Execution and Implementation

An assessment of how well the project was executed, taking into account factors such as project management, resource allocation, and adaptability to unforeseen challenges.

• Creativity and Innovation

Recognition of creative and innovative elements in the project that set it apart from conventional communications/PR practices.

• Measurable Results

Assessment of the impact of the project through measurable results and the achievement of predetermined goals.

• Ethical Standards

Assessing the project’s adherence to ethical standards in public relations, ensuring honesty, integrity, and respect for all stakeholders.

PROCEDURES

• Submission phase

(Public and private) organizations, agencies, and individual professionals are invited to submit their projects for consideration giving a detailed overview of the project, including objectives, strategies, and results achieved.

• Judging Panel

A diverse and experienced panel of industry experts will be selected to review and evaluate submissions. The panel will consist of professionals with expertise in public relations, communication management, and related fields who understand the importance of transparent communication.

• Scoring System

The projects will be scored based on the established criteria specified in this rulebook, the scoring is from 2-10, with 10 for the highest excellence to 2 as a satisfactory project and based on the established criteria, whereby each criterion will be assigned a certain weight. Cumulative results will determine the bronze, silver, and gold final winners. The scoring system is a secret between the judges, it takes place through a closed software platform, each judge gets his or her code when they complete their scoring, the system concludes the scoring process of each judge, and the judge is no longer able to make changes.

• Recognition of finalists

Projects that demonstrate exceptional merit will be recognized as finalists, receiving recognition for their achievements.

• Award ceremony

The AllGreenFriends ESG Excellence Awards will celebrate winners and provide a platform to share insights and best practices with the communications community, to connect.

Adhering to these principles, criteria, and procedures, the AllGreenFriends ESG Excellence Awards aim to support and promote excellence in public relations and foster a culture of innovation, ethical practice, and measurable impact within the industry.

All finalists will be publicly announced and will be available to the public as a resource, that is the official website of the applicant. All finalists will receive a special stamp for their projects that they can use for their promotion and communication, while the winners of each category will also receive the awards.

OTHER REGULATIONS

• Eligibility Criteria

• Projects submitted for consideration must be ongoing within the calendar year preceding the award ceremony.

• Applications are open for public sector projects, private sector, and non-governmental organizations

• All submitted projects must comply with local and international laws and regulations respecting the highest standards of communication transparency and ethics

• Confidentiality and Non-Disclosure

The judging panel and the organizers of the award are committed to strict confidentiality of the contact details of the submitted projects by the information provided by the applicant in the application, they have the right to use the details of the applicant that were entered during the application. Materials, photos, videos, and all requested documentation will not be returned. The organizer has the right to publicly publish on the official website, and in official press releases, to communicate the summary of the projects and their features. Confidentiality agreements can be signed if requested by the party submitting them, but the organizer must not limit the transparency of the applicant’s communication with the confidentiality agreement. The applicant must request in writing that he/she wishes to sign a confidentiality agreement and submit the content of that agreement to the organizer before starting the official application process. Within 8 days of the written request, the organizer will study the proposal and answer the potential applicant whether it can accept the terms of the proposal for a confidentiality agreement or not. The last deadline for this procedure is for the applicant to submit a proposal for the signature of a confidentiality agreement and this procedure is only 15 working days from the official deadline specified on the web for closing all project applications.

• Conflict of Interest

Judges with a potential conflict of interest, such as direct involvement in the submitted project, will withdraw from the evaluation of that specific entry if the organizer determines this by reviewing the application process. Such a judge will be informed and removed from the proceedings. The organizer will present the new judge on the official website.

• Fair and Impartial Judging

The evaluation process will be conducted fairly and impartially. Judges will evaluate projects solely on merit, without bias or prejudice.

• Disqualification Criteria

Submitted projects found to violate ethical standards, engage in deceptive practices, or misrepresent achievements will be disqualified from consideration without refund of the financial fees paid.

Incomplete applications that do not meet all the stated requirements may also be disqualified, about which the organizer will notify the applicant in writing. This is an exceptional rule in case of a technical system error.

• Appeals Process

This rulebook establishes a transparent appeal procedure for applicants who are not satisfied with the outcome of the assessment. Appeals must be submitted in writing within 8 (eight) business days of the official award date, and a separate panel will review and respond to the appeal, and a separate panel will review and respond to the appeal within 30 (thirty) business days of filing the appeal. The complainant can only be the person listed as the official applicant of the project. The complaint must be sent to the official email address of the organizer. The organizer must confirm that he has received the appeal, the organizer has the right to confirm the receipt of the appeal within 72 (seventy-two) hours from the acceptance of the appeal.

• Categories

Projects will be categorized based on industry sectors, campaign types, or communication objectives to ensure a diverse range of awards.

• Publicity and promotion

Award winners and finalists grant permission to use their names, project details, and visuals in promotional materials associated with the AllGreenFriends ESG Excellence Awards across all online platforms.

• Ethical Standards

Ethics in public relations demands communicating fairly and honestly, ensuring transparency, and adhering to the highest professional standards. Respecting confidentiality, maintaining accuracy in information transmission, and avoiding conflicts of interest are essential components of ethical PR practice.

OTHER INFO

The president of the AllGreenFriends ESG Excellence Awards organizing committee can propose amendments to these Regulations to the members of the AllGreenFriends ESG Excellence Awards organizing committee, once a year, no later than 7 (seven) months before the day of the annual AllGreenFriends ESG Excellence Awards ceremony. The organizing committee of the AllGreenFriends ESG Excellence Awards consists of an international and national committee, each of whom is made up of a minimum of 3 (three) and a maximum of 5 (five) members. Due to the impact on the scoring process and the judges, their names will not be publicly announced until the award ceremony, and after that at the written request of the organizers.
